Fellows Not Previously Inducted Instructions for Convocation 2018

Date: Thursday, April 19, 2018

Time: Convocation begins promptly at 6:00 p.m. and lasts until approximately 7:30 p.m.

Location: The Convocation ceremony will be held in Hall J, Ernest N. Morial Convention Center, New Orleans, LA.

Registration for Convocation:

Please report to Hall I-2 of the Ernest N. Morial Convention Center on Thursday, April 19 between 11:30 a.m. - 3 p.m. and check in with New Fellows Regalia so that they may record your participation and provide your regalia. You will need to report to New Fellows and Governors Assembly in Hall I-2 by 5 p.m. to line up and march with your Chapter.

Regalia Pick Up:

You can obtain your regalia from one of the Herff Jones representatives on Thursday, April 19, 2018, starting at 11:00 a.m. in Hall I2, New Fellows Regalia Area, Ernest N. Morial Convention Center.

For Fellows bringing their own regalia, please check in with an ACP staff member at the New Fellows Regalia Area so your attendance is recorded.

All inductees having obtained their proper regalia must be ready to assemble by 5:30 p.m. in the New Fellows and Governors Assembly Area in Hall I2.  The Assembly Area provides a place where new Fellows and Governors can form groups by ACP chapter, so that chapters can march together in the procession.  Governors lead the chapter contingents.  Immediately after the Convocation, regalia must be returned to Herff-Jones representatives in Hall I2.  

Seating:

Special seats will be reserved in the auditorium for the inductees.

Guests:

Guests are welcome to attend Convocation and no tickets are required.  Seating is on a first-come, first-served basis from 5:00-5:50 p.m. in Hall J and is suspended during the processional. Seating will continue after the processional.  Those with young children may prefer to use the childcare services at their hotel or the service available for Internal Medicine Meeting 2018 attendees at the Marriott New Orleans as the ceremony is quite long for young children.

Special Needs:

Any Convocation participants who require special assistance to attend the ceremony should contact Meghann Williams at ACP Headquarters by March 9, 2018, via e-mail at mewilliams@acponline.org.

Portraits:

Appointments can be made at the portrait desk located in Hall I2 for Thursday, April 19, 2018 and on Friday, April 20, 2018.  We would encourage you to schedule your appointment in advance.  The best time to schedule on Thursday, April 19th is between noon and 3:00 p.m. Please note that regalia will be available on-site for sittings on Friday. There are several portrait packages available and prices vary according to the selection.

Convocation DVD:

DVDs of Convocation may be purchased after the ceremony, for shipment in the Autumn following Convocation.  Order forms will be made available in the New Fellows Regalia Area and are included in the Convocation program.

Candid Photographs:

A Prestige Portraits by Lifetouch photography representative will be taking candid photographs of Convocation participants in the hours leading up to the ceremony. Some of these photos will be included on the Convocation DVD and may be used in future ACP promotional materials.

Wall of Fame:

New Fellows and their families are invited to visit the Wall of Fame, listing new Fellows inducted at Convocation this year. A terrific photo opportunity! The Wall of Fame is located in the lobby outside Hall I2. The Wall of Fame changes every year, so this is the only time these names will appear.

Regalia:

New Fellows to be inducted must wear an academic doctor’s gown, the appropriate cap, and doctoral hood with their own medical school colors.

Bringing Your Own Regalia:

You may wear your own academic regalia rather than renting, if preferred. Remember to check in with a Herff Jones representative to ensure that your attendance is recorded.

Fees:

The cost for rental of regalia and participation in Convocation is included in your Fellowship Initiation Fee.  There are no other fees regarding the Convocation ceremony.

Deadlines:

The deadline for pre-ordering regalia has passed but you may still participate. Please contact acp_convocation@acponline.org if you wish to participate.

Participating in Convocation:

Fellows are invited for a period of three years to be formally inducted at Convocation. All Fellows are welcome to be inducted at a future Convocation ceremony upon request and are advised to contact ACP headquarters at least four months prior to the ceremony.
